Pricing questions
How does per-location pricing work?
Each shop location is billed separately, monthly or yearly. Yearly is 12 months for the price of 10 (2 months free). Core is $99 a month per location. The AI plan is $249 for one location, or $219 per location when you have 2 to 4. Growth is $399, or $369 per location for 2 to 4. With 5 or more locations, talk to us and we will set up a plan that fits.
What happens when AI credits run out?
Every AI location adds a monthly allowance of AI credits to one pool shared by the whole shop. If the pool runs out, AI features pause until the next billing month, or you can add a top-up in Billing to keep going straight away. Top-ups last until the end of that billing month. Everything else in Gearboxly keeps working.
How does the Phone assistant add-on work?
It’s included in the Growth plan with 100 call minutes per location a month. On Core and AI it’s $99 a month per location and includes 200 call minutes a month. Your shop gets its own assistant number, and you set your shop line to forward to it when you’re busy, don’t answer, or are closed. It answers as your shop, books appointments onto your calendar, gives repair status to customers it recognizes, answers your FAQ and takes messages. Every call gets an AI summary, a transcript and a recording kept for 14 days. The included minutes are a hard cap: once they’re used, calls go to voicemail, unless you turn on extra minutes at $0.15 each (Growth works the same way, with a cap of 100). How many users can we add?
As many as you like. Every plan includes unlimited users, so every service writer and technician gets their own sign-in.
Are there texting or payment fees?
Customer updates (estimates, approvals, status updates, appointment reminders, booking confirmations and sign-in codes) are unlimited, with no per-message fees. Campaign texts are 1,000 a month per location (3,000 on Growth), and you can add a pack of 1,000 for $15 any time. Carriers require your business to be registered before texting starts (A2P 10DLC); registration happens after your first paid invoice, and any fees are shown before it goes live. Card payments are processed by Stripe at Stripe’s standard rates. Gearboxly adds no extra fee on payments.
Can we bring our data over?
Yes, from CSV files. Import data (Settings, then Import data) brings in customers, vehicles, repair order history and inventory from Tekmetric, Shopmonkey, Shop-Ware, AutoLeap, Protractor, Mitchell 1 or any CSV, with a dry run first, nothing sent to your customers and undo for every import. It is included on every plan. On Growth, data migration is also free: send us the export and we import your customers, vehicles and visit history and check it for you. How switching works
Can we cancel anytime?
Yes. There is no contract. Cancel from Billing whenever you like, and you keep access until the end of the month you have paid for.
