How much does Gearboxly cost?
Core is $99 a month per location. The AI plan is $249 a month for one location, or $219 per location for 2 to 4 locations. Growth is $399 ($369 per location for 2 to 4) and adds 3x texts, double the AI allowance and priority onboarding. With 5 or more locations, talk to us and we'll set up a plan that fits.
Is there a free trial?
Yes. Every shop starts with 14 days of the AI plan, free. No credit card is needed to start.
Is there a contract?
No. Gearboxly is month to month. Cancel from Billing whenever you like and you keep access until the end of the month you've paid for.
Do you offer refunds?
Payments aren't refunded, which is why you get a free trial first and can cancel anytime.
How many users can we add?
As many as you like. Every plan includes unlimited users, so every service writer and technician gets their own sign-in.
Are there fees on card payments?
Card payments are processed by Stripe at Stripe's standard rates. Gearboxly adds no extra fee.
Text messaging
Can we text customers from Gearboxly?
Yes, two-way. Estimates, updates and reminders go out by text, and customer replies land in one inbox you answer from your shop's own number.
Why does texting need approval?
US phone carriers require every business that texts customers to be registered first (called A2P 10DLC). You fill in your business details in Gearboxly and we submit them. Registration starts after your first paid invoice, and carrier approval can take a few days to a few weeks.
How many texts are included?
Every location includes 1,000 text segments a month (3,000 on Growth) (a segment is one 160-character text), pooled across your locations. Estimates, updates, reminders and login codes always send. Campaigns pause at the limit until you add a $10 pack for 1,000 more.
Gearboxly AI
What does Gearboxly AI do?
It finds labor times, drafts estimates from the customer's concern, turns tech shorthand into customer-ready findings, answers questions about the vehicle, writes customer updates and campaigns, and tells you what needs attention next.
Is there a limit on AI?
The AI plan includes a monthly AI allowance for each location, shared by the whole shop. If it runs out, AI pauses until the next billing month, or you can buy more in Billing and keep going. Everything else in Gearboxly keeps working. During the free trial, AI is limited to 40 requests a day.
Does AI make decisions on its own?
No. AI suggests; people decide. Estimates, labor times and messages are shown to you to check before anything is saved or sent.
Parts
Can we order parts from Gearboxly?
Find parts opens your supplier's own site from the repair order. PartsTech opens already searching the part on the car's VIN. You order there, then add what you ordered to the repair order by pasting the order or typing it in. You sign in to your supplier yourself; Gearboxly never sees or stores supplier passwords.
Do you integrate with PartsTech?
Direct PartsTech ordering, where parts come back to the repair order automatically, is coming soon.
Can technicians order parts?
No. Technicians request parts from the bay, and the service writer orders them. Every purchase goes through the front counter.
Your data
Can we bring our data over?
Yes. Import your customers and vehicles from a CSV export from your current system, and we're happy to help with the move.
Who owns our data?
You do. Each shop's data is kept in its own separate database, never mixed with another shop's.
Is Gearboxly secure?
Every shop is isolated from every other, sign-ins lock after repeated wrong passwords, idle sessions sign out, and staff only see what their role allows. Payments are handled by Stripe; card numbers never touch Gearboxly.
Does it work on phones and tablets?
Yes. Gearboxly runs in the browser on computers, tablets and phones. Service writers can check cars in from the lot by scanning the VIN or plate with their phone.
