Auto repair estimates customers approve from their phone

Updated

An estimate in Gearboxly is a list of jobs, each with its labor, parts and technician. Labor times show up for the vehicle as you type, parts are priced by your own matrix, and the customer approves each job from a text. Approvals land back on the repair order with who approved and when.

A Gearboxly estimate with a brake job, its labor line, part line and totals

A customer estimate on a phone with Approve and Decline under each job
What the customer sees: each job with its own Approve or Decline.

What it does

  • Jobs with labor and parts under each one, and their own status
  • Labor hours for the vehicle on the RO, multiplied by your labor rate
  • Parts priced the same way every time by your parts matrix
  • Text or email the estimate; customers approve or decline each job and sign
  • See when the estimate was sent, opened and approved
  • Declined jobs are kept with their price and photos for follow-up

How it works

  1. 1

    Add jobs

Type what needs doing, like front pads and rotors. Add labor from the labor guide or type your own hours.

  2. 2

    Add parts

Add parts from any source. Each one is priced by your matrix so margins stay consistent.

  3. 3

    Share it

Tap Share to text or email the estimate. The customer sees the inspection photos with each job.

  4. 4

    Get the yes

Approvals land back on the repair order and in your notifications. If they approve at the counter, record it so it's still on file.

Questions shops ask

Can customers approve only some of the work?

Yes. Each job has its own Approve and Decline, so customers can say yes to the brakes and not today to the rest.

Where do labor times come from?

From the labor guide for the vehicle on the repair order, shown as you type the job. You can also type your own hours, or paste rows from another guide with AI labor paste.

Can AI draft the estimate?

On the AI and Growth plans, Gearboxly AI drafts jobs, labor and parts from the customer's concern or the inspection. Nothing goes to the customer until you review and send it.
