How to spot one
Every imported repair order shows "Imported from" followed by the name of your old system. Its number starts with a short prefix for the source, so you can search for it by number.
- Tekmetric
- TM- before the number, for example TM-1234
- Shopmonkey
- SM- before the number, for example SM-1234
- Shop-Ware
- SW- before the number, for example SW-1234
- AutoLeap
- AL- before the number, for example AL-1234
- Protractor
- PR- before the number, for example PR-1234
- Mitchell 1
- M1- before the number, for example M1-1234
- Other CSV
- IM- before the number, for example IM-1234
What an imported order is
- A closed, paid, read-only record of a visit that happened in your old system.
- It cannot be edited.
- It shows on the customer's and the vehicle's history, so you can see what was done to a car before the shop switched.
- It appears in reports under its original dates. That means the current month and year do not change when you import.
What it never does
- It never sends a text or an email to the customer.
- It never sends a review request.
- It never earns loyalty points.
- It never starts a follow-up, a service-due reminder or a win-back message.
- It never syncs to QuickBooks.
- It never shows on the workshop board, the shop TV, the calendar or in estimates.
A customer who came into Gearboxly only through an import is also left out of the automatic service-due and win-back reminders until they have a real visit with you. You can still text them on purpose from Campaigns.
Jobs on imported orders
Jobs on imported history all come in as completed. That is deliberate: declined or recommended work from your old system is not imported, so no follow-up can fire from it. If a customer told you in the past that they would do a repair later, you will need to note that again in Gearboxly.
Open orders
Orders that were still open in your old system are skipped by default. They cannot become live repair orders in Gearboxly. Finish them in the old system, or re-create them as new orders.
If you tick Also bring in orders that were still open when you match columns, they come in as read-only history, shown as unpaid invoices. They are still not live.
If something looks wrong
Every import can be undone. See Undo an import. Undo removes only what the import created, and keeps anything you have edited since.
