Check in a car from your phone

Walk out to the car, scan the VIN or snap the plate, do the walk-around, and the repair order is created before you're back inside.

Open check-in

On your phone, tap the round + button at the bottom of the screen. On a computer it's Check in a car in the sidebar, under Workshop.

Find the car

Scan VIN barcode
Point the camera at the barcode on the driver's door jamb or the windshield. It reads in a second or two, and a VIN that doesn't check out is ignored rather than trusted.
Snap plate or VIN
Take a photo of the license plate or the VIN plate. Gearboxly AI reads it, including the plate's state.
Type it
Switch between VIN and Plate and type it in.

A car you've seen before comes up with its owner, how many visits, and when they were last in. A new car is decoded to its year, make, model and engine, and you add the customer's name and mobile. If that mobile number is already on file, Gearboxly uses that customer instead of making a duplicate.

If the car already has an open repair order, you'll see a warning with a link to it, so you don't open a second one by mistake.

The walk-around

  1. 1Type what the customer says is wrong. Tap + Another concern for each extra one.
  2. 2Pick Dropping off or Waiting.
  3. 3Enter the mileage, or tap Snap dash and AI reads the odometer, fuel level and any warning lights from a photo of the dash.
  4. 4Tap the fuel level and the number of keys.
  5. 5Take photos of any damage, and note anything left in the car.

Check in

Tap Check in & create RO. The customer, the vehicle and a checked-in repair order are created together, with the mileage, fuel, keys and photos already on it. The repair order opens, and it's on the Workshop board for everyone.
