Staff app privacy policy

The Gearboxly app (package name com.gearboxly.staff) is how auto repair shop staff use Gearboxly on their phones. It signs in to the same account as the web app at app.gearboxly.com, so the shop’s data lives on our servers, not in the app.

The app is for employees of repair shops that use Gearboxly: owners, managers, service writers and technicians. Shop customers do not use this app. The shop controls who has an account and what each person can see.

• Account details: your name, work email or phone number, and role at the shop, used to sign you in.
• Work you enter: repair orders, inspections, notes, vehicle details (including VINs and plates), customer details the shop keeps, and time clock punches.
• Photos and videos you take or choose: vehicle and inspection photos, and short inspection videos, only when you add them.
• Push notification token: a code from Apple or Google that lets us send your phone alerts about approvals, messages and jobs.
• Basic technical data: sign-in times, IP address and app or browser version, kept in server logs for security and troubleshooting.
• Settings on the device: small preferences such as whether you’ve seen a tip, stored only on your phone.

• Camera: to scan VINs and plates and take inspection photos. Used only when you open the scanner or photo button.
• Photo library: to attach vehicle photos you already took, only the ones you pick.
• Microphone (iPhone): only to record sound with an inspection video you choose to record.
• Notifications: to alert you about work. You can turn them off at any time.

You can allow or deny each permission, and change it later in your phone’s settings. Denying one only turns off the feature that needs it.

The app does not collect your location, contacts, calendar, browsing history or health data. It has no advertising, no ad tracking and no third-party analytics, and it does not track you across other apps or websites.

We use this information only to run Gearboxly for your shop: signing you in, showing and saving the shop’s work, sending notifications, keeping the service secure, and providing support. We do not sell personal information or use it for advertising.

If your shop uses Gearboxly AI, text you enter or photos you choose may be processed by our AI provider to produce drafts, as described in our AI disclaimer.

• Your shop: owners and managers can see work done under your account.
• Service providers that run Gearboxly for us, such as hosting, Apple and Google push notification services, text and email delivery, payments and AI processing. They may only use it to provide their service. See our subprocessors list.
• When the law requires it, or to protect people or the service.

No mobile information is shared with third parties or affiliates for marketing or promotional purposes.

All data between the app and our servers is encrypted in transit (HTTPS). Access is limited by each person’s role at the shop, and sessions end after a period of inactivity. See our security page for more.

The shop’s records are kept while its account is open and then deleted as described in our data retention policy. Push tokens are removed when your account is removed. Server logs are kept for a limited time for security.

You can ask for your staff account and its personal data to be deleted at any time from our delete account page or by emailing support@gearboxly.com. Shop owners can also remove staff accounts in Settings. Records the shop needs for its business, such as invoices, may be kept by the shop as required by law.

The app is for working adults and is not meant for anyone under 18. We do not knowingly collect information from children.

If we change this policy we will update the date at the top of this page and tell account holders about changes that matter.
